PROJECT MANAGER- FULL TIME

Location: London Head Office + Various events up and down the UK (summer)

Salary: £30-35k (+dependant on experience) plus overtime + event profit bonus

A rare and fantastic opportunity plan, budget, build and operate bars at events. You will be the main point of contact for the client/event and you will have complete commercial ownership of the project from start to finish. You will work closely with all part of the business to deliver each event on time, on budget and meet profit targets and exceed the client’s expectations.

Core Accountabilities: 

Planning (office): 

  • Contribution to the pitch process alongside the budget planner to ensure every event is costed up accurately
  • Managing the whole of the Project Team (stock, staffing, finance, operations etc.) to ensure the project is delivered on budget, on time
  • Obtaining supplier quotations
  • Booking of equipment and returns
  • Prepare any licensing paperwork including applications and AMP’s and attending any relevant meetings
  • Reconciling all costs post event with the Project Accountant and Finance
  • Being the main point of contact for the client
  • Managing the client’s deadlines – for example stock ordering or equipment booking
  • Maintaining and regularly updating the event budgets using in house systems
  • Working with the staff team to ensure staff rotas are on or under budget, delivered at the event and reconciled in full post event
  • Working with the stock planners to ensure that all stock orders go out on time, without fail
  • Regularly attending meetings with clients and suppliers
  • Work with the brands, sponsorship teams (internal and external), stock planners and the Client to ensure the event is stock-ranged correctly
  • Complete commercial ownership of the event – managing budgets, ensuring profit targets are achieved
  • Providing pre and post event budget reports to finance and the Directors as per timelines
  • Create and maintain comprehensive event plans
  • Ensuring changes to the Project Plan are communicated to all departments through regular event planning meetings
  • Communicating and maintaining timelines and priorities on every project
  • To keep fully up-to-date with industry developments & trends
  • Ad hoc tasks as the business requires

On site at events: 

  • To act as the primary point of contact and represent the Company on site at events
  • Uphold all licensing objectives in accordance with the EMP and AMP – act as DPS if required and liaise with local authorities
  • Attendance at ELT or relevant meetings if required
  • To coordinate and oversee all site operations (including but not limited to) event logistics, security, staffing management, cash operations, stock management, event production, & bar/food services.
  • Delivering events on time and within budget that exceed expectations
  • Managing all subcontractors – from staffing to wet stock suppliers, portacabins to power
  • Allocating and delegating tasks to Peppermint staff, managers or relevant sub-contractors.
  • Making operational decisions based on changing conditions at the event
  • To troubleshoot and problem solve and make clear and definitive decisions
  • Maintain a highly professional, highly skilled and motivated event team
  • To delegate effectively, follow-up consistently and maintain a culture of respect and accountability within your team

Knowledge / Experience / Skills

ESSENTIAL:

  • Experience working on site at events
  • Strong event production and general construction knowledge
  • Confident budget management
  • Strong client management experience
  • Commercial awareness
  • Excellent organisation and time management
  • A keen eye for detail
  • On-trend knowledge of F & B offerings at events
  • Relationship building & strong communication skills
  • Strong numerical skills
  • Willing to undertake ad hoc tasks associated with leading and working in a small team
  • Willing to live and work onsite at festivals and events both during and outside of regular business hours
  • Personable, confident and outgoing with excellent face-to-face and written communication skills
  • Computing and business software skills particularly Microsoft Office Outlook, Excel, and Word
  • Ability to prioritise and juggle a varied and sometimes heavy workload
  • Confident working with a high degree of autonomy
  • Comfortable meeting face-to-face with clients and suppliers

PREFERRED:

  • Full clean driving licence
  • Telehandler licence

PROFESSIONAL QUALIFICATIONS (PREFERRED):

  • IOSH / NEBOSH or appropriate H & S
  • Event Management Degree or equivalent

FINANCE ASSISTANT - FULL TIME 

Location: Peppermint HQ, Kennington, London

An exciting opportunity has arisen for a Finance Assistant to join an energetic company specialising in the field of festivals and events.

Salary:  £23-26k dependant on experience 

Peppermint provide high-performance festival bars and event solutions to the world’s best entertainment businesses and consumer brands. Our core business is operating festival bars, event bars, festival brand activation and conjoined retail-led F & B solutions to the UK’s best sports events, festivals and outdoor events.

The Role


You will be working closely alongside the finance team and interacting with the wider Peppermint team, including Project Managers and Procurement, on a daily basis. Job accountabilities include:
• Inputting purchase invoices, liaising with project managers to ensure correct allocations
• Statement reconciliations with supplier accounts
• Weekly payment run preparation
• Bank statement and reconciliation to system postings
• Staff expenses and company credit card postings, ensure correct company process is followed
• Petty cash transactions
• Raising sales invoices
• Delivering customer service, dealing with queries from suppliers and clients via email and telephone
• Credit control and helping embed a strict control process
• Office management

STOCK TEAM ASSISTANT

Pay: £11-12.50 per hour (depending on experience)

An exciting opportunity has arisen for a Stock Team Assistant to join an energetic company specialising in the field of festivals and events.

You will be based at our London office alongside the Stock Operations Controller and working closely alongside the existing team and interacting with the wider Peppermint team, including Project Managers, Brand Partnership Manager and Onsite Stock Managers on a daily basis. This is a temporary role from mid – April until September.

Job accountabilities include:

Pre-event planning

  • Working with New Business & Brand Partnerships to create a full ranging document & assessing GP impact
  • Targeting Warehouse stock for usage
  • Review the physical inventory journal & liaise with the WH Stock Manager for Warehouse picks and stock locations and ensuring that the stock levels are correct
  • Assessing historical data of comparable or YOY event data for creating accurate stock orders.
  • Maintain effective communication lines with the Project Manager, Operations Manager and Warehouse teams
  • Prepare event specific information packs alongside the Brand Partnerships team
  • Liaise with suppliers on new product lines, pricing, orders & shortages
  • Assistance with GP analysis
  • Booking in & lead on pre event briefings with onsite teams
  • Attending relevant project meetings
  • Deal with ad hoc stock queries as and when required

Post-event and reconciliation 

  • Supporting handovers from onsite teams
  • Reconciliation of events dealing with suppliers’ invoices & credits, challenging shortages and deviances
  • Producing internal event consumption reports
  • Producing detailed event reports for Clients and Sponsors
  • Compiling PLU Till data from various EPOS systems in place & preparing for future historical analysis
  • Stock analysis for both event and warehouse
  • Database completion of various event information

Ongoing

  • Providing support & training for all new members of the Stock team
  • Ensuring departmental checklists are adhered to, completed and finalised according to timelines
  • Potential for some onsite stock support (Not Stock lead)

What You’ll Need To Succeed

OFFICE ASSISTANT

Pay: £9/ £10 per hour (depending on experience)

You will be based at our London office alongside the Brand Partnerships Manager and working closely alongside the existing team and interacting with the wider Peppermint team, including Project Managers and the Graphic Designer, on a daily basis. This is a temporary role from April until September.

Job accountabilities include:

Print Management

  • Responsible for the timely production of all of Peppermint’s printed menus
  • Request and collate menu ranging and pricing from the Stock Team
  • Request and collate sponsor logos, wording and any special requests from the Brand Partnerships Team
  • Request and collate menu sizes, materials and quantities from the Project Manger
  • Ensure consistent communication with Stock Team and Brand Partnerships Team and communicate any changes to the Graphic Designer
  • Meticulously proof read all menus to ensure absolute accuracy
  • Request and collate, from the Brand Partnerships Team, final sign off from all relevant stakeholders
  • Liaise with Peppermint’s chosen print supplier to produce a quote for each job and ensure this is signed off by the Project Manager
  • Book in jobs with the printer and communicate accurate delivery instructions to ensure timely delivery to the event site
  • Share digital copies of all final menus with Stock Team, Brand Partnerships and on-site teams
  • Be the primary point of contact for any on-site printing needs, react promptly in order to fix and on-site errors or changes promptly

EPOS Management

  • Alongside the cash controller, create and build electronic menu’s on the till system for each event
  • Ensuring all pricing is accurate & matches physical menu & any relevant licensing requirements
  • Liaise with Project Managers to create client logins for each event
  • Creation of client gift cards for each event
  • Writing and upkeep of Peppermint EPOS manuals for any software changes that may arise
  • Liaise with software companies & request quotes on behalf of the project management team
