COMMERCIAL ANALYST - FULL TIME - IMMEDIATE START

Location: Head Office, London

The purpose of the Commercial Analyst is to take the brief or information provided in relation to any sales opportunities and input the information into the company’s bespoke costing module to generate a commercial proposal under guidance from the New Business team and the Directors. This is an office based role.

Your day to do will be using the company’s historical data to forecast revenues, whilst apportioning costs in order to achieve and profit and loss position for the proposed event. During this process you will work closely with the new business team and finance to ensure these costs are accurate as possible. You will interrogate historical data and costs in order to achieve accurate budgets and work with the team to put forward commercial proposals for the new business team to propose to the client. You will keep up to date the company’s data almanac and help develop this.  

The role is heavily focussed on analytical skills, utilising historical data and cross checking data points to ensure it is as accurate as possible. Post event you will help with forecast vs actual analysis with the finance team. The candidate will need to be a self motivator able to work alone at times, able to prioritise tasks and events and multi task often when there is incomplete information and multiple concurrent projects happening.

Main accountabilities of Commercial Analyst 

EVENT PROFILING & BUDGETING

  • Extract and communicate key information from tender documents to ensure all budgetary items are accounted for
  • Utilise the team’s experience and draw on historical data to project attendances, spend per head and event revenues according to the opportunity
  • Analyse hourly data to understanding the peak spending times
  • Work alongside the Project Managers to capture all projected costs related to the event
  • Contact suppliers for quotes
  • Ad hoc tasks as required

INTERNAL COSTING SYSTEM

  • Ensuring all data within the costing module is accurate and kept up to date – for example staffing rates or supplier standard cost
  • Constantly improving the costing modules metrics using up to date data and insight

DEAL GENERATION

  • Work with the New Business team to decide the best commercial model for the proposal
  • Spend time with the senior team to apply sensitivities to risk and break-even positions
  • Generate commercial deals for sign off from the Directors

USING AND MANIPULATING DATA

  • Presenting key data trends for the sales teams to use in proposals – for example drinking patterns in a geographical location or example spend per heads for a particular type of event
  • Communicating data findings to non-data users in a clear and concise way
  • Producing YOY variation reports and providing commentary where relevant
  • Continually building and developing historical data sets to assist with future planning

STAFFING ADMIN ASSISTANT - FTC

Location: London, Head Office

Hourly Rate- £12.00

Responsible for assisting the company’s Staffing department to provide staffing needs, including recruiting, administration, staff placements, staff welfare and communication.

Main accountabilities of Staffing Admin Assistant

  • Create event jobs and roles on our online staffing portal and build rota
  • Assist with booking people on platform once rota is confirmed
  • Create event timesheets and contact sheets prior to each events
  • Liaise with staffing agencies when needed (sourcing new ones and booking them)
  • Create and provide factsheets for events and send information out to staff on site
  • Assist with organising accommodation and transport for core team staff
  • Prepare and analyse food costs per event and send a report to the event’s Project Manager
  • Liaise with suppliers to organise delivery of packed lunches for core crew on-site
  • Organise and complete accreditation for on-site staff
  • Organise food voucher and crew catering pre-event
  • Assist Staffing department with invoices/POs – checking against timesheets, check with agencies when discrepancies are found and chase for credit notes/new invoices when needed
  • Assist payroll assistant with timesheet approvals
  • Manage staff inbox and direct enquiries to the relevant person
  • To ensure all workers successfully complete required sign up process for PAYE or Self – employed
  • Adhoc tasks determined by Head of staffing and Core Team manager

LEVY STAFFING AND OPERATIONS ASSISTANT 

Location: London, Head Office

Hourly Rate: £15 p/h

The purpose of this role is to assists the Operations Manager and Staffing team in coordinating the operations and staffing of event projects to ensure team schedules, processes, documents and requirements are met. This role is focussed on the Summer months up to the end of September 2022 with the opportunity of a full-time contract beyond this period.

Main Accountabilities 

GENERAL AND TASK MANAGEMENT

  • Liaising with the Operations Manager on equipment requirements & availability for each show and feeding back to the team
  • Liaising with venues, suppliers, booking equipment and infrastructure then fulfilling financial administration based on the requirement for each show
  • Preparing equipment and documentation for the team e.g. – onsite documentation, site plans, timesheets, team rotas, staff handbooks and briefing notes
  • Collating information post event and sending to the relevant people both internal and external
  • Creating and amending health and safety documentation as required
  • Creating menu copy & print for each show
  • Booking accommodation and transport
  • Responsible for fulfilling staff requirements per event – working with staffing department and agencies to ensure all shifts are filled.
  • Collating staff availability and being the main point of contact for staff related correspondence (internal and external)
  • Report all onsite damage/accident reports are communicated to the operations manager and Head of staffing
  • Communication and reconciliation of staff expenses
  • Reconciliation of agency invoices
  • Assist the Head of Staffing with ongoing recruitment during the course of the season when required
  • Ensure that all data protection guidelines and employment laws are adhered to. Other adhoc tasks required by staffing department
  • Approximately at least 30 hours per week are required, may include evenings and weekends.

RELATIONSHIP MANAGEMENT

Between the Bridges is a joint venture between Peppermint Events & Marcus Weedon. We are returning to the Southbank after a successful first year in 2021.
Curated by the team behind Winterville, Between the Bridges will feature a unique mix of London’s finest foods and bars. The event will also have content from local promoters, artists and creative, two venues programmed with a mix of DJs, cabaret, and
live music. 

The event will consist of 2 phases for Summer and Winter, with the main part of the site closing to the public in between these phases so the change overs can be completed. The Winter phase will start with an Oktoberfest theme, followed by a Halloween theme after which the site will be re-dressed for a winter theme for the remainder of the run.

  • Live event dates – 29th April 2022 – 23rd December 2022
  • Open – 7 days a week. Weekend work expected throughout.
  • The event is licenced for a capacity of 2000.
  • The successful applicant will be employed by Between the Bridges but work alongside BTB, Loudsound and Peppermint
    throughout the project
SITE OPERATIONS MANAGER - FTC - APRIL-JANUARY

Location: Between the Bridges/Southbank

The Operations Manager is responsible for the day-to-day management of the site operations, focusing on maintenance, contractor liaison, trader management.

Hours

  • 50 per week
  • April 2022 – January 2023
  • Rate – to be discussed, depending on experience

Main accountabilities of Site Operations Manager

Responsibilities 

  • Assist GM with the set-up of the event, by helping managing build crew, schedules and equipment, adhering to budgets
    and reducing costs where possible
  • Overseeing site maintenance – Working with the General Manager and the Event Managers on any issues with power,
    water, access etc.

  • Ensuring license compliance (opening times, noise levels, alcohol sales, audience cap etc)

EVENT MANAGER - FTC - APRIL-JANUARY

Location: Between The Bridges/Southbank

The Event Manager is responsible for the day-to-day management of the entire site and reports to the General Manager. Day to day their role is to ensure the license conditions are being upheld and the service on site is running efficiently and effectively.

  • 45 hours per week
  • April 22 – January 23
  •  Rate – £15 P/H

Main accountabilities of Event Manager

Responsibilities

  •  Ensure site is ready to open each day (conducts daily pre-gate checks etc)
  • Stock control
  • Nominated first aider and lost child rep
  • Operational day to day running of the site (security, medical, staff)
  • Managing the service staff
  • Completes daily end of day report
  • Ensure all staff and contractors working FOH are following the relevant procedures
  • Ensuring POS system is functioning correctly
  • Dealing with all trader enquiries, issues etc
  • Monitors the community phone line
  • Lead the event control team on site (alongside security supervisor and other senior managers)
  • Responsible for dealing with any emergencies onsite
  • Dealing with local authority / emergency service onsite visits

CELLAR MANAGER - FTC - APRIL-JANUARY 

Location: Between the Bridges

Hourly Rate: £13.00

This role is to oversee the day-to-day running of the on-site bar and ensure the smooth operation of services provided at all times. This includes providing an effective hands-on management and leadership to the bar staff, bar backs and cellar managers, ensuring that they are fully briefed and engaged throughout service.
Due to the nature of the work, potential candidates must have great physical stamina, great time-keeping skills, a ‘can-do attitude’ and the ability to work under pressure. The hours are flexible, but can also be demanding. There will be work on evenings and weekends.

Main accountabilities of Cellar Manager

MAIN RESPONSIBILITIES

  •  Training keg handlers on your bar with the appropriate keg handler training, if applicable
  • Ensuring that the BOH team are handling stock correctly and abiding to the health and safety procedures, including wearing the correct PPE
  • Recording any wastage/ broken stock correctly
  • Ensure the smooth running of the back of house operation
  • Ensuring that any BOH incidents the Bar Manager is notified and it is recorded in the correct manner
  •  Staff briefing and training where required
  • Work within and enforce Health and Safety policies and the Operations Manual
  • Assisting the onsite Stock Managers in the accurate calculation and reporting of stock in and out of the bars
  • Stock taking at the end of each shift
  • Ensure that the right stock levels are maintained in the bar- be aware of and responsive to changing stock levels communicating within sufficient time when more stock will be needed and estimating using from previous days/hours how much stock will be required.
  • Overall responsibility for the security of the stock in the Cellar
  • Maintaining the draught systems
  • Managing bar backs to ensure a smooth and efficient service on all bars
BAR MANAGER - FTC - APRIL-DECEMBER

  • Ensure all staff obtain the relevant licenses and identify any additional staff training requirements
  • Work with the Project Manager/ Event Manager and Stock Manager on stock management and supply agreements
  • Co-ordinate and work closely with the General Manager/ Event Manager, Staffing team and stock team regarding bar
    services, policies and stock volume
  • Work with the General Manager, managing budgets and exceeding targets
  • Ensure personal compliance for all beverage requirements
BAR STAFF - FTC - APRIL-DECEMBER

Hourly Rate: £11.50

Working as part of our bar team is a varied role, you will be working on our event bars serving customers, preparing wet stocksuch as fruit and cups-, cup collecting and preparing drinks. You will report directly to the bar manager and during your shift you
must fulfil your role and ensure you’re presenting a positive image of the event by being polite and friendly.
Due to the nature of the work, potential candidates must have great physical stamina, great time-keeping skills, a ‘can-do attitude’ and the ability to work under pressure. The hours are flexible, but can also be demanding. There are pinnacles working at all hours of the day and night, each day has a new set of challenges to be met.

Main accountabilities of Bar Staff

MAIN RESPONSIBILITIES

  • You will be front line staff so will need to be customer service focused
  • You will be preparing drinks for customers and taking payments
  • You may be asked to prepare fruit for cocktails, distribute cups, straws, napkins and other consumables.
  • Some glass collecting may also be required
  • Ensure you always work within the challenge 21 policy and don’t serve anyone deemed to be too intoxicated.
  • Report all refusals of service to the bar manager
  • Ensure that your work area is kept tidy and organised

  • Willing to camp and stamina to work long hours in fast paced, loud festival environment
BAR BACK - FTC - APRIL-DECEMBER

Location: Between The Bridges 

Hourly Rate: £11.50

Working as part of our bar team is a varied role. As a Barback,  you will be supporting the bartender and ensuring that they have everything they need during service to keep everything running smoothly: clean glasses, enough garnishes, liquor, beer and spirits, ice cubes, etc. You will be responsible for keeping the service area tidy (cleaning up spills and broken glasses) and running to the coldroom to restock whatever’s running low.  You will report directly to the bar manager and during your shift you must fulfil your role and ensure you’re presenting a positive image of the event by being polite and friendly.

Due to the nature of the work, potential candidates must have great physical stamina, great time-keeping skills, a ‘can-do attitude’ and the ability to work under pressure. The hours are flexible, but can also be demanding. There are pinnacles working at all hours of the day and night, each day has a new set of challenges to be met.

Main accountabilities of Bar Back

  • You will be supporting the bartenders to provide excellent and efficient service for customers and may be required to take payments

For this role, you should have solid organizational and people skills to make sure guests have a positive experience from the moment they arrive till their departure.
